Loan packages, identity records, invoices and servicing files often arrive as images or documents rather than clean data fields. AI-assisted extraction can help classify pages and capture selected facts, but the output remains a claim about the source—not a replacement for the source itself.

01

The task begins with a defined document and data schema

The bank specifies which document types are in scope, which fields may be extracted and how each field will be used. A system that captures an invoice number for routing presents different consequences from one that extracts income or collateral information used in a credit decision.

Owners identify the authoritative source, acceptable formats, required pages and conditions that make a document incomplete or unsuitable. This keeps the tool from inventing a value for a field the source never supplied or combining information from unrelated documents.

02

Several components can contribute to one extracted result

Image processing can improve orientation and readability, optical character recognition can convert visible text into machine-readable characters, and a model can classify the document or map words to structured fields. Rules may then validate formats, totals, dates or relationships among fields.

Each component can fail differently. A clear word can be attached to the wrong field, a faint digit can be misread or a model can mistake one document version for another, so a plausible structured result does not prove that the source was interpreted correctly.

03

Confidence and validation determine the next step

The workflow uses tested thresholds and deterministic checks to decide which results may proceed and which require qualified review. High consequence, low confidence, conflicting or unusual results can be routed to a person with the original page and enough context to verify the value.

Human review is meaningful only when the reviewer can detect an error and is not pushed to approve more items than can be examined carefully. Overrides and corrections are recorded so teams can identify recurring document types, fields or suppliers that need better handling.

04

Sensitive documents remain governed data

Documents may contain identity, financial, health, tax or business information beyond the fields the bank needs. Access, encryption, data minimization, retention and deletion controls apply to the source image, intermediate files, extracted fields and any prompts or model logs.

If a provider processes the document, the bank evaluates where data travel, whether they are retained or used to improve another service, which subcontractors participate and how incidents, availability and deletion are handled. A provider's accuracy claim does not resolve the bank's privacy, security or operational responsibility.

05

Evaluation follows real documents and downstream impact

Testing covers representative layouts, languages, scan quality, handwritten or amended fields, missing pages and deliberate manipulation where relevant. Teams measure field-level error and consequence by document type rather than relying only on a favorable overall accuracy score.

Monitoring watches corrections, exceptions, drift and downstream errors as forms and customer behavior change. The bank preserves the source, extracted value, model or configuration version, validation result and reviewer action so a later decision can be traced back to the evidence that supported it.
